*First Come First Served Policy for Sub-Agents on Property Offers*

*Objective:*

To establish a clear and transparent process for all sub-agents to submit offers on properties given to our estate agency for tenant-finding services.

*Policy:*

1. *Definition:* The “First Come First Served” (FCFS) basis means that offers from sub-agents will be reviewed and considered in the order in which they are received by the estate agency.

2. *Submission of Offers:*

   a. All offers should be submitted in writing via the approved channels specified by the estate agency.

   b. Sub-agents should ensure that offers contain all necessary information and documentation as outlined in the estate agency’s guidelines.

3. *Timestamp:* 

   a. Every offer received will be timestamped to determine the order of its receipt.

   b. The timestamp will be considered the official time of submission, regardless of when the sub-agent claims to have sent it.

4. *Reviewing Offers:* 

   a. Offers will be reviewed in the order of their timestamps.

   b. The first valid offer that meets all the criteria will be given priority for the property in question.

5. *Validity of Offer:* 

   a. An offer will only be considered valid if it adheres to all the requirements set by the estate agency.

   b. Incomplete or non-compliant offers will be set aside, and the next offer in line will be considered.

6. *Notification:*

   a. The sub-agent whose offer is accepted will be notified promptly.

   b. Other sub-agents will be notified that the property is no longer available for offers.

7. *Exceptional Circumstances:* In situations where two offers are received at the exact same time or there are any disputes regarding the timestamp, the estate agency’s management will have the final say in determining which offer is given priority.

8. *Disputes:* Any disputes arising from this policy should be addressed in writing to the estate agency’s management. The decision of the management will be final.

9. *Updates & Changes:* This policy is subject to change at the discretion of the estate agency. All sub-agents will be duly notified of any modifications.
